TIPS FOR ORGANIZATIONS
A well organized fundraiser depends on the fundraising Coordinator/Committee. The fundraising coordinator(s) wear many hats from selecting and planning the fundraiser, educating the ticket sellers about the program, distributing the tickets, collecting the ticket stubs, cash and unsold tickets, and determining and posting the sweepstakes winners.
Knowing how much money your organization needs to raise and by what date will help you set timelines for your fundraising project.
Your fundraising goals, how many ticket sellers you have, and your fundraising deadline, are all contributing factors in determining which program is the best for your organization.
It is important that your ticket sellers understand the program they are trying to sell.
Each program comes with cusomized posters which you can advertise your fundraiser throughout your community. The posters increase interest and promote online ticket sales.
A great way to boost ticket sales is to reward ticket sellers with incentives for the sellers with the highest ticket sales. Gift certificates to local restaurants, businesses, or sports equipment. Local businesses may even donate such incentives.
Each ticket stub sold should be filed in numerical order by ticket number. This will make it easier to determine winners. After the results are posted online, you will browse the highest & lowest scoring ticket numbers. Based on the tickets that your organization has sold, you can determine the winners.
When your organization is finished selling fundraising tickets, you mail the unsold tickets and a check for 65-70% (based on the program you are running) to Green Bee Fundraising, 1424 East State Street, Sharon, PA 16146. If Green Bee Fundraising is determining and posting your winners, you remit 60-65% (based on the program you are running).
It's a great idea to hold a final meeting/party with your fellow hard working ticket sellers to reflect on your fundraising experience. Share a profit summary of your fundraiser to let the ticket sellers know how much money they were able to raise as a group for the organization. Welcome feedback from them regarding their experience. Celebrate the success of your Green Bee Fundraiser and note any changes and suggestions for your next fundraiser.
